These Terms of Service ("Terms") govern your use of the Vibe Books website at www.vibebooks.co.uk and the Vibe Books application (the "Service"). By creating an account, using the Service, or submitting information to HMRC through the Service, you agree to be bound by these Terms.
Vibe Books is the trading name of Mr Mark Purmal, who operates as a sole trader in the United Kingdom.

The Service is designed for MTD for Income Tax workflows. It does not currently support VAT returns, MTD for VAT, VAT rate calculations, VAT periods, or VAT submissions to HMRC. If you are VAT registered, you remain responsible for meeting your VAT obligations using separate software, HMRC services, or professional support.
To use the Service, you must create an account by providing your name, email address, and a password. You agree to:

Vibe Books offers a free plan and paid subscription plans. Details of each plan and its features are described on our website.
Paid subscriptions renew automatically until cancelled. You may cancel your subscription at any time through the Service. Upon cancellation, you retain access until the end of your current billing period, after which your account reverts to the free plan. All prices are in British Pounds (GBP). We are not VAT registered, so no VAT is charged on subscription fees; this is separate from whether you personally need to register for VAT.
As the Service is delivered digitally, we do not generally offer refunds once a subscription period has begun. If you believe you have been charged in error, please contact us and we will review your case.
If you are a consumer (an individual using the Service wholly or mainly for purposes outside your trade, business, craft, or profession), statutory rights under the Consumer Rights Act 2015 apply to the digital content we supply. That includes, among other things, that digital content must be of satisfactory quality, fit for any particular purpose you made known to us, and as described. Nothing in these Terms excludes or limits those statutory rights where it would be unlawful to do so.
Vibe Books facilitates the submission of financial data to HMRC through their Making Tax Digital (MTD) API. However:
UK Making Tax Digital (MTD) rules require digital record-keeping and a digital link to ensure data integrity.
How Vibe Books supports the digital link: Vibe Books is built so that there is a continuous digital path from your records to HMRC. Information you import is processed into structured transactions; those records feed the figures used for your updates. Submissions to HMRC are sent only through our integration with HMRC’s MTD APIs.
Your Responsibilities: You agree to enter or import data honestly. You must not use Vibe Books to circumvent MTD requirements—for example, by knowingly re-keying values in a way that breaks the required digital link between your books and HMRC.
Where the Service stores HMRC submission references or provides PDF/email receipts, these are provided to assist your record-keeping. You should still download or save your own copies (e.g., submission receipt PDFs and exports) and retain them in line with HMRC’s statutory record-keeping requirements (generally 5 years).

All content, design, code, logos, and trademarks associated with Vibe Books are owned by us or licensed to us. Your financial data remains yours; we claim no ownership over the data you enter into the Service.
By You: You may delete your account at any time. We will remove your personal data from our live (actively served) systems within 30 days. Deletion is subject to our legal obligations: in particular, HMRC Making Tax Digital rules may require certain records to be kept for a period (typically up to five years after the statutory deadline for a tax year), as described in our Privacy Policy (including Section 7). Where retention applies, we do not promise that every historical record disappears immediately. You should export your records before deleting your account if you need copies for your own files.
By Us: We may suspend or terminate your account for violations of these Terms, fraudulent activity, or legal requirements.
We aim to keep the Service available at all times but do not guarantee uninterrupted access. We are not liable for any losses resulting from downtime or service interruptions, particularly during peak filing periods.

Mandatory Reporting: To protect your account and the integrity of the UK tax system, Vibe Books transmits mandatory "Fraud Prevention Headers" to HMRC during every submission. These headers include technical data about your device and network connection as required by HMRC standards. By using the Service, you acknowledge and consent to this data sharing with HM Revenue & Customs.
We may update these Terms from time to time. Where changes are material, we will notify you by email at the address associated with your account before they take effect (or as far in advance as reasonably practicable). For non-material or routine updates, we may post the revised Terms on the website without individual notice. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms, except where applicable law requires your express consent.
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
